Filling vacancies in large companies is an elaborate process that ties up resources and generates costs. Multi-stage selection processes combined with lots of candidates for some positions and a lack of applicants for others significantly lengthen the time-to-hire. The employee market driven by a growing shortage of skilled workers in a number of sectors has called for employers to invest in more accessible ways to apply for jobs. Company career sites and a focus on online applications have become the gold standard in many industries. At the start of 2020, ALDI SÜD decided to further optimize its application process by using video recruiting. Together with projekt0708 and Cammio, it was possible to implement the required functionalities in SAP SuccessFactors in a short period of time, which was a major step towards optimizing the entire recruiting process.

Today, qualified candidates often have the freedom to choose between several potential employers. The complexity of the application process plays an important role in their decision. Many job-hunters today view online applications as a fundamental requirement. All the while, online applications allow companies to sift through and make decisions much more quickly and efficiently. Yet uploading documents and filling out online application forms is only one aspect of the online application process. Video interviews such as ALDI SÜD's time-shifted interviews can meaningfully complement more traditional written applications and help to pre-select applicants. It gives the applicant a chance to reveal the person behind the resume. In later stages of the application process, live interviews will increasingly replace the classic on-site job interview in many areas.

VIDEO RECRUITING: SIMPLE APPLICATION PROCESS, EFFICIENT RECRUITING

At ALDI SÜD, the increasingly difficult conditions for traditional application processes brought on by the Corona pandemic led to the realization that optimizing existing application processes could save valuable time and effort for everyone involved.

With more than 47,500 employees in the ALDI SÜD group as well as in the 28 independent regional companies and around 1,940 stores in southern and western Germany, recruitment is one of the most labor-intensive and time-consuming tasks in a corporate group of this size. New or vacant positions in sales, logistics and administration often need to be filled as quickly and efficiently as possible with skilled and qualified labor. Not to mention the 2,000 or so apprentices joining the company each year in both classic and new occupational fields such as e-commerce.

ALDI SÜD has been offering the favored online application option via its website for some time now. However, as most common, classic application documents are also to be submitted in the correct file format via upload. After a pre-selection, the next application step has so far been to conduct regular interviews with eligible candidates over the phone and on site.

Step by step towards Success

Initially, ALDI SÜD decided to use Cammio as a stand-alone solution during a pilot phase in the spring of 2020. The possible applications in the area of video recruiting had to be tested and evaluated extensively. The focus here was on time-shifted video interviews as a substitute for the classic telephone interviews used in the initial selection process.

From the outset, however, it was clear that the only way to ensure the desired optimization of the recruiting process was through integration with SAP SuccessFactors, which was already established in the company.

With projekt0708, ALDI SÜD chose an implementation partner that not only has an SAP Gold Partnership and Microsoft Partner status, but also recognized expertise in various areas of SAP SuccessFactors.

After the promising outcome of the pilot phase, which lasted several months, projekt0708 began with the integration of Cammio into SAP SuccessFactors. The main challenge here was to adapt to the decentralized corporate structure. The ultimate goal was to have the ALDI SÜD group as well as each of the regional companies independently handling time-shifted video interviews in all departments, for all positions, with SAP SuccessFactors via Cammio. Access had to be limited to the data relevant to the respective company.

The data exchange between Cammio and SAP SuccessFactors runs on Microsoft Azure, a reliable cloud computing platform that additionally reduces the existing computing power load on the user side.

After only about four months, this project stage was completed in November 2020. It involved special attention to IT security testing as well as extensive load tests.

The new video recruiting system was put through its first practical test in the early project phase of the stand-alone use of Cammio.

ALDI SÜD offers the opportunity for dual degree programs in various subjects. In this case too, the company has to deal with large numbers of applicants and fill the vacancies within a period of time that is reasonable for both sides. 

"Aleady after completing the first project stage, we were able to significantly accelerate our overall hiring process with Cammio as a stand-alone solution," reports Sabine Bluhm. 

Seamless integration into SAP SuccessFactors Recruiting further increases the efficiency and utility of the time-shifted video interviews. Invitations are generated directly from the system upon receiving an application, videos sent by the candidate are uploaded to SAP SuccessFactors, linked to the candidate data and can then be reviewed and further processed internally without any additional effort.

With its six-figure application volume, the integration of Cammio into SAP SuccessFactor by projekt0708 will enable ALDI SÜD to significantly reduce recruiting efforts and costs in the long term and to present itself as a modern employer to future employees in all corporate divisions right from the application process.

 

Objectives and Outlook

The clear objective behind the introduction of video recruiting via the integration of Cammio into SAP SuccessFactors was and is for ALDI SÜD to increase efficiency across the entire recruitment process. The focus of the ongoing evaluation of the completed project steps is therefore on the development of time-to-hire and the ratio of conducted interviews to filled vacancies, and essentially on the number of employees who were hired using time-shifted video interviews.

In the long term, the aim is to use the various video recruiting tools for all job openings by default. In a first stage, the use of the multiple functions offered by Cammio is limited to the time-shifted interviews. Over the medium term, however, vacancies are to be complemented with Cammio Stories (video job ads) in order to give candidates an authentic insight into the company and the position. In the long run, ALDI SÜD may also use the video pitch to provide a modern platform for unsolicited applications. Candidates would be able to use the video pitch to introduce themselves in a short video as part of the online application.
