The medical university Johannes Gutenberg Universität Mainz is the only facility for supramaximum care in Rheinland-Pfalz and an international accredited location of science.
Medical services on top level: the medical university Mainz consists of more than 60 specified clinics, institutes and departments. Employing about 7500 people, it is one of the region´s largest employers and an important accelerator in terms of growth and innovation. As it was neccessary to react on new conditions and tasks in healthcare, processes in modernizing and reformation were implemented. One part of it was to reformation their HR management: self-services offer the medical university´s employees access to their personal data and time accounts at any time and from everywhere.
BACKGROUND FOR THE IMPLEMENTATION-PROJECT AT MAINZ MEDICAL UNIVERSITY
In order to react on changed conditions and increasing challenges in health care, among other departments, Mainz Medical University also reformed their HR management.
Therefore, in cooperation with SAP-solution specialist projekt0708 SAP ERP Human Capital Management Self Services was implemented.
THE AIM OF THE TRANSFORMATIONAL PROCESS
The following aims were targeted for the technical implementation of business processes with SAP HCM:
- Increasing data quality due to replacment of paper-based forms and reduction of redundancies in personnel data collection and maintenance. Furthermore, simultaneously decreasing costs are an additional effect of the process.
- Accelerated, lean and standardized personnel processes due to efficent self-service offers and support of workflows
- Increasing employee satisfaction due to improved transparency and flexibility
THE ADVANTAGES OF TRANSFORMATION
Implementing SAP HCM Self-Services brings advantages for both, employees and managers. In general, paper-based forms are reduced in favor of electronic HR processes, hence processing times sink. Moreover, the error rate and – proneness decreases as well. In particular, autmatized payment verfications and self-services for corrections in accounting of time and absences significantly reduce time and costs. As a result, an increased employee satisfaction due to specifically automatized self-service solutions for every position, can be expected.
Mainz Medical University`s employees are now able to access their personnel data via NetWeaver Business Client Software easily. Employees, who don´t have their own system access (e.g. nursing staff), can log in at specifically established kiosk terminals. Individual timetables and time accounts can be accessed through a personnel profile, and, requests for absences as well as services, can be created and forwarded. Managers use the Manager Self Services, in order to access their employees´ HR data (e.g. organizational mapping, attendances and absences, status of residual absences…). Furthermore, supervisors can view and approve requests for leave, flexitime and telework.
