Integration of On-Premise & Cloud
Many customers rely on a hybrid system landscape. The HR core processes and related master data remain in the SAP ERP HCM system, while talent management processes are moved to SAP SuccessFactors, SAP's cloud solution. To optimally connect both worlds, SAP delivers various predefined data and process integration scenarios as part of the Integration Add-On for SAP ERP HCM and SuccessFactors HCM Suite.
When implementing SuccessFactors Recruiting as part of a talent hybrid, we recommend using the Integration Add-On to extract employee data and organizational data from SAP ERP HCM and transfer it to SuccessFactors. Additionally, we recommend using SucessFactors to transfer applicants selected for recruitment to the leading master data system SAP ERP HCM. As middleware, the AddOn supports SAP Process Integration (PI) or SAP Cloud Platform Integration (formerly SAP HANA Cloud Integration or HCI).
Integration of employee data
When SuccessFactors Recruiting is delivered as a talent hybrid, the solution is based on the employee profile, not on the comprehensive HR master data solution Employee Central (EC). The Employee Profile contains all master data for all participants in the SuccessFactors Recruiting process. Especially in larger companies with many users, an automated interface is the only solution. The Integration-AddOn provides the necessary tools to run an initial migration as well as a regular delta-transfer of the changed master data records. The integration scenario can handle both standard fields and customer-specific fields in SuccessFactors. The employee profile contains personal (e.g. first name, last name, etc.), organizational (e.g. organizational unit, manager, HR business partner, etc.) and user data (e.g. user ID, email address, etc.).
In the context of a project at an international consulting company, the implementation was based on the Integration AddOn 3.0 SP02 for SAP ERP HCM and SuccessFactors HCM Suite, which has to be installed on the SAP ERP HCM system. The minimum requirement for this is SAP ERP 6.0, which is configured via customizing. For customer-specific field mappings, corresponding Business Add-Ins (BAdIs) can be implemented by developing them in ABAP. Information about success and error messages can be accessed in a monitoring application based on WebDynpro for ABAP.
The SAP Cloud Platform Integration was used as middleware. Predefined templates (so-called iFlows) are delivered for the integration. These can be downloaded in the web-based interface and configured as needed. The system interconnection between the SAP ERP HCM and the SAP Cloud Platform is made by a SSL certificate. SuccessFactors is triggered via SOAP using the SuccessFactors interface SFAPI.
Recruiting Integration Scenario
Once a suitable candidate has been found for an advertised position and has accepted the company's offer, the recruiting process ends in SuccessFactors. The employee now has to be created in SAP ERP HCM using a hiring action. To get process-related support and to avoid double data entry, it is worth using the integration scenario for Recruiting Data.
All applicants with the status "Hiring in SAP" are extracted in SucessFactors, mapped and transferred to the corresponding infotype fields in SAP ERP HCM.
The data from SuccessFactors is now available in SAP ERP HCM for executing the hiring action. The HR activity is started from a separate transaction. If the action is completed successfully, SuccessFactors gets a confirmation and the status is changed to "Hired in SAP". Optionally, the internal SuccessFactors User ID can be transferred to the external candidate profile to link it to the internal candidate profile later.
