Whether via e-mail or online application portal on the company's own website - many companies prefer electronic applications. Although efficient and practical to use, electronic applications also come with certain disadvantages, such is, that each individual application document - from cover letter, CV and application photo to school and job references - has to be opened separately. Less is more, as some HR professionals may have thought about the click process. Therefore, the Knorr-Bremse Group relies on an add-on that extends the SAP standard for optimized recruiting. All of an applicant's uploaded file attachments are automatically combined into a central document - including cover sheet and table of contents.

OPTIMIZING WORKFLOWS

In order to ensure, that the company not only attracts the best talents, but also that they are conveniently recruited, the company uses projekt0708's PDF Converter for SAP ERP Human Capital Management (HCM) as an add-on. The PDF Converter is an add-on software, that allows companies to extend SAP ERP HCM and thus customize it to their individual needs. The electronic application file for SAP E-Recruiting was made possible by integrating the SoftVision tool webPDF.

PERFORMANCE ENHANCING FUNCTIONS

The standard version of SAP ERP HCM already offers a variety of performance-enhancing functions through automated workflows and system-supported correspondence, but the possibilities of e-recruiting are only fully realized with additional applications. The projekt0708 PDF Converter, for example, automatically bundles all applicant documents in one PDF document and thus considerably simplifies the work processes of personnel managers and executives.

The consolidation of all file attachments is made possible by the SoftVision product on which it is based: The server-based solution webPDF offers functions for central PDF creation and processing as well as PDF export and printing. The tool allows the conversion of about 100 file formats - including all office and image formats -, furthermore, documents can be split or combined, individual pages can be rotated or deleted. Digital signing and certification is especially interesting for sensitive data - webPDF attaches a corresponding certificate to the document and thus protects it from changes. With the ability to create PDF/A files, long-term archiving - for example, as part of a digital personnel file - is no problem. The documents comply with ISO Standard 19005-1, which defines the long-term archiving of electronic documents. As soon as a change is made or attachments are added, the automatic update of the PDF summary ensures, that the latest data is always available. A very useful feature is the access to the candidate folder via tablet, for example during an interview appointment. This way, HR staff do not have to print out the documents and such mobile solutions also promote the employer's modern image. Another advantage: embedding the application folder's PDF file in the SAP Web application does not open a separate window.

SEAMLESS INTEGRATION

These advantages convinced the Munich-based specialist for brakes. "In addition to its convenient handling, the crucial argument for choosing the tool was its ease of integration into our existing IT infrastructure," recalls Franz Eisenmann, Business Process & Application Consultant Human Resources at Knorr-Bremse IT Services GmbH.

Knorr-Bremse has been using the projekt0708 PDF Converter since January 2013. "Previously, we had to spend a lot of time clicking through all of an applicant's documents one by one," reports Franz Eisenmann. "With the add-on it is now possible to present electronic applications with the look and feel of a typical application folder. The electronic candidate folder does not only look like a conventional application file, but is also inspired by the classic version in its handling. Instead of opening individual file attachments, we can now scroll through a single document via the dashboard - comparable to flipping through a classic application folder". In the background, all uploaded attachments of an applicant are combined into a central PDF document, provided with cover sheet and table of contents and made available to the user. "This greatly simplifies the handling of the documents for our recruiters and managers," explains Franz Eisenmann. Within a single click an overview of a candidate' s profile is provided. The systematic structuring of all relevant candidate data supports not only the entire application process but also simplifies the comparison of applications.

The specialist for brakes describes the cooperation with projekt0708 as thoroughly positive. Consequently, the company will continue to expand their cooperation. "This year, we will gradually begin to introduce the projekt0708 PDF Converter at other locations as part of our e-recruiting rollout," reports Franz Eisenmann. As a technological pioneer, the group is aware of the central importance of continuously optimized and harmonized processes for the company's success. Since this goal can best be achieved in a team, projekt0708 will also be involved in the future.
