BACKGROUND: PUSH FORWARD THE COMPANY´S APPEAL

In order to gain a better position as an attractive employer in recruiting the best candidates and face the shortage of qualified applicants in critical target groups, the msg systems ag replaced their self-developed system with a SAP-based recruiting management tool. „We wanted to emphasize the professionalization of our whole process and prop it with appropriate software to keep pace with our company growth.“ Ilona Fazekas, the msg recruiting responsible, states. „We plan a revenue of one billion Euro, including the respective growth in employee numbers.“ The IT service company seeks to optimize its recruiting processes and strengthen their employer branding. „We aimed to get closer to the applicants and improve our company´s appearance“, Sascha Schlegel, project managager at msg, states.

After probing several software options and solution offers, msg decided in favour of the on-premise based „SAP E-Recruiting“. Within this system, recruiting processes are made measurable and controllable and include an increased efficiency in talent search and bonding processes. msg´s chosen implementation partner was projekt0708, an IT service company, which specialized in „SAP ERP Human Capital Management“ and „SAP Talent Management“. Ilona Fazekas explains, „projekt0708 came into our focus especially due to their experience with middle sized businesses.“

EXTENSION WITH ADD-ONS AND PROCESSES

„WITHIN OUR NEW SYSTEM, THE APPLICANTS ARE DIRECTLY CONNECTED TO OUR BACKOFFICE.”
HERBERT WITTEMER, LEADING HR MANAGER, MSG SYSTEMS AG

All of our specifications regarding our company and the industry we work in, could be taken care of. Hence, the SAP standard processes needed to be extended and we had to add new processes for the industrial council´s participation. „Also, we involved our leadership team far more, than the SAP standard for recruiting processes plans. This was one of the project´s bigger challenges“, Ilona Fazekas states.

Moreover, the SAP-Software was enriched by three add-ons, which were developed by projekt 0708:

  • the „PDF Converter“ for a digital solution of a classical application in a file,
  • the „Application Dashboard“, for optimized editing of applications sent via email and
  • the „Jobboard Connector“, for an automized publication of job postings in online job markets.

„With the add-ons, we especially wanted to optmize our internal processes“, explains Fazekas. In case of an engagement, the application will directly be stored as a collective doculment in the personnel file.

The solution´s go live date was set to the beginning of December 2014. „Even the observations shortly after the new solution has been rolled out, led to the assumptioon, that the number of online applications will increase with this modern recruiting platform“, Schlegel declares. New applicants will find this process quite pleasant, as they can use self-services to manage their application. „In the new system, the applicant is directly connected to our back offices, as he can post all of his data right there“, Herbert Wittemer, msg´s leading HR manager, sums up. The applicant is free to choose, if he´d rather apply via the online tool or via email. „We left open all of the opportunities on purpose“, says Fazekas. Another advantage: applications, that arrived via mail, can also be migrated via the application dashboard.
